Plans and pricing
Retrievy offers two standard plans (Essentials and Advanced) and a Build Your Own option for teams whose numbers don't fit either. This page covers the differences, how to switch, and what happens around payment events (failed cards, cancellation, reactivation).

Before you start
- You need to be the workspace owner to manage billing. Other workspace admins can do almost everything else but the Subscription Management page is owner-only.
- A valid payment method (only required at checkout). Retrievy uses Stripe; everything from card details to invoices flows through the Stripe Customer Portal.
Where to find it
Open Billing in the workspace menu (the breadcrumb reads Workspace > <company name> > Billing). The page header reads Subscription Management.

Essentials is the lowest-cost paid tier. It's the right pick for a single team running a small environment that needs the core Retrievy Index, Hardening Kanban, and Security Exceptions but doesn't need PDF exports, SSO, or audit logs.

Advanced is the typical pick for security teams reporting to leadership, or anyone who needs to hand a PDF to an auditor.
If you signed up before the recent price change, you may be on Advanced (Grandfathered) at $199/month. You stay on that price until you explicitly resize.
Build Your Own

BYO is for organisations whose numbers don't match Essentials or Advanced cleanly. You set the source and seat counts with two sliders; Retrievy quotes the monthly price live. No annual contract; same monthly billing as the flat plans.
BYO includes every feature in Advanced (PDF, SSO, audit logs, dependency graph).
The plan picker
The Subscription Management page shows both flat plans as side-by-side cards, each listing data sources, seats, and retention. Below the flat cards is a heading Or Build Your Own that expands the BYO builder with two sliders (one for data sources, one for seats) and a live price quote.
Subscribing for the first time
Pick a plan card and click through. Retrievy redirects you to Stripe Checkout to enter card details (promotion codes accepted). After payment succeeds, your plan is active within a minute. You're returned to the billing page with the new plan highlighted.
Switching plans
From an active subscription:
- Flat → flat (Essentials to Advanced or vice versa) uses Stripe's
swapflow. Proration is immediate. You're charged or credited for the unused portion of the old plan automatically. - Flat → BYO uses an "always invoice" proration. Retrievy shows a preview of the prorated charge before you confirm. The action button reads

Managing your subscription
The Stripe Portal button in the billing header opens Stripe's hosted Customer Portal in a new tab. From there you can:
- Update your payment method.
- Download past invoices.
- Cancel the subscription (cancellation takes effect at the end of the current billing cycle).
Cancellation, reactivation, and payment-method changes flow through the portal. Plan changes (switching tier, BYO resize) happen in the Retrievy UI.
When payment fails
Retrievy tracks four payment states, kept in sync with Stripe.

The header on the billing page shows a banner with the current state plus a countdown (for example 30 days left to reactivate) when relevant. Banners read Payment failed for past-due and Subscription scheduled to cancel for cancellations.
After 30 days canceled and not reactivated, the workspace plan falls back to Essentials defaults and access becomes more restricted. The data isn't deleted, but features beyond Essentials stop working.
Seat enforcement
Seats are enforced at invite time, not at sign-up. On the Team Members page (under Settings → Organization):
- The Invite User button is disabled when you're at the limit, with the label Seat Limit Reached — Upgrade. Clicking opens the billing page.
- A meter above the user list reads
<N> seats available — includes active users and pending invitations.Pending invites count, so plan for that. - If you try to invite at the limit, the page surfaces Seat limit reached on the <plan name> plan. Upgrade your plan to invite more team members.
Plan downgrades that reduce your seat count don't kick people out automatically. The Team Members page surfaces the over-quota state until you remove enough users to get back under the cap.
Data-source slot enforcement
Data-source slots count cloud accounts, FortiGate devices, Active Directory domains, and other ingested sources. The enforcement appears in two places:
- Cloud Account wizard: When you try to add a cloud account at the limit, step 2 is replaced by the Slot Limit Reached panel with the message Your current plan has no remaining data source slots and an upgrade CTA. See Connect an AWS account.
- FortiGate setup: A Slot Limit Reached banner appears with the meter
<consumed> / <max> usedand the warning Deleting a previously scanned device will not free the slot until your billing cycle resets.
That last note matters: deleting a data source releases its slot only on your next billing cycle (specifically when Stripe fires the next invoice.paid webhook). To free a slot immediately, either downgrade to a smaller plan and back up, or wait for the cycle.
Free trial
There's no permanent free tier. Essentials is the entry-level paid plan at $149 a month. New workspaces can get a Stripe trial (typically 14 days) if it's configured on the subscription at checkout; ask your sales contact if you need one.
Until you complete checkout, your workspace exists but can't run scans. You can browse the UI and review the plans without committing.
Permissions

Inside the billing flow, every action is also subject to Stripe's checks: a failed card means the upgrade button can't complete; an already-cancelled subscription means Reactivate Subscription appears instead of plan-swap buttons.
Troubleshooting
Symptom: The Billing link is missing from my workspace menu. → Fix: You're not the workspace owner. Only the owner can manage billing. Ask the owner to do the change or transfer ownership.
Symptom: I upgraded to Advanced but the Executive PDF button is still disabled. → Fix: The plan change has not propagated to your session yet (rare, but possible during Stripe outages). Wait a minute and refresh. If still disabled, sign out and back in to force a permission refresh.
Symptom: I downgraded from Advanced to Essentials and now several users can't sign in. → Fix: Essentials caps seats at 3. If your team has more than 3 active users, the ones over the cap lose access at the next session. Remove enough users on Team Members to get back under cap, then sign back in.
Symptom: I deleted a cloud account but the Slot Limit Reached panel still shows when I try to add a new one.
→ Fix: Slot release happens on the next billing cycle (next invoice.paid webhook). Either wait for the cycle to roll over, or contact support to force a quota recompute.
Symptom: The plan picker shows my Advanced subscription is $199 but the published price is $349.
→ Fix: You're on the grandfathered Advanced tier from before the price change. You stay at the old price until you resize. If you change plan, you'll get the current pricing.
Symptom: Payment failed and I see the Past due banner. → Fix: Click Stripe Portal, update your card, and Stripe will re-attempt the charge automatically. You have seven days from the failure before features start locking.
